GymSolver ("GymSolver", "we", "us" or "our") provides software that helps gymnastics clubs plan equipment usage and generate floor plans. This Privacy Policy explains what personal information we collect, how we use and protect it, and the choices you have. It applies to our website at gymsolver.com and our application at app.gymsolver.com (together, the "Services").
By using the Services or requesting early access, you agree to the handling of your information as described in this Policy.
1. Information we collect
- Information you give us. When you request early access or contact us, we collect details such as your name, email address, club or organisation name, your role, and anything you include in your message.
- Account and club information. If your club uses GymSolver, we store the information you enter to run the product - for example classes, training sessions, coaches, equipment and floor plans.
- Information collected automatically. When you visit our website or use the app, we may collect technical information such as your IP address, browser and device type, pages viewed, and the dates and times of access, using cookies and similar technologies.
2. How we use your information
- To provide, operate, maintain and improve the Services;
- To respond to your early-access request and communicate with you about it;
- To provide support and send service-related messages, and - where required, with your consent - news and updates about GymSolver;
- To publish feedback or testimonials you give us - which may include your name, role and club - on our website and other materials, where you have given us your permission;
- To keep the Services secure and protect against misuse;
- To comply with our legal obligations.
3. Cookies and analytics
We use cookies and similar technologies to keep you signed in, remember your preferences, and understand how the Services are used so we can improve them. You can control cookies through your browser settings; disabling some cookies may affect how the Services work.
4. How we share your information
We do not sell your personal information. We share it only:
- With service providers who help us run the Services (for example cloud hosting), under appropriate confidentiality and data-protection obligations;
- Where required by law, regulation or valid legal process.
5. Your club's data
All data your club enters into GymSolver - including your classes, training sessions, coaches, equipment and floor plans - belongs to your club. We process it on your club's behalf solely to provide, support and improve the Services; we do not sell it or use it for unrelated purposes.
Members of the GymSolver team access your club's data only for those purposes - for example, to troubleshoot issues and to analyse usage so we can improve the product.
Where your club enters personal information about its members, coaches or athletes, your club is responsible for that information and for obtaining any consents required, and GymSolver processes it on the club's behalf to provide the Services.
6. Data storage and security
We host the Services on reputable cloud infrastructure and use reasonable technical and organisational measures to protect your information against loss, misuse and unauthorised access. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.
7. Data retention
We keep personal information for as long as it is needed to provide the Services and for legitimate business or legal purposes. If your club stops using GymSolver, we will permanently delete your club's data within six months of your departure.
8. Your rights
Depending on your location, you may have the right to access, correct, update or delete your personal information, to object to or restrict certain processing, or to withdraw consent. To exercise these rights, contact us at and we will respond in accordance with applicable law.
9. International users and data location
We are based in Australia and handle personal information in accordance with applicable privacy laws, including the Australian Privacy Principles under the Privacy Act 1988 (Cth). We and our service providers may process and store information in Australia and other countries; where information is transferred across borders, we take reasonable steps to ensure it remains protected as described in this Policy.
10. Children's privacy
The Services are intended for use by gymnastics clubs and their staff, not by children. We do not knowingly collect personal information directly from children through the Services. Information about young athletes, where entered by a club, is handled by the club as described in section 5.
11. Changes to this Policy
We may update this Policy from time to time. We will post the updated version here and revise the "Last updated" date above. Where changes are significant, we will communicate them as appropriate.
